Unit Identity and Service Context
Begin with the trailer or truck number, reefer make and model, serial number, controller family, displayed operating hours, date, location, and technician. Record whether the unit was loaded or empty, the setpoint and observed box condition, recent alarms, and the complaint supplied by the fleet. These details make later comparisons possible and prevent the record from being attached to the wrong configuration.
The checklist should also state whether the visit was scheduled PM, seasonal preparation, a follow-up after repair, or an inspection prompted by an operating concern. The same physical observation can carry different weight when it follows a repeated shutdown or a normal maintenance interval.
Visual Condition and Mounting
Document visible damage, loose or missing hardware, panel and guard condition, mounting concerns, contamination, and evidence of fluid or refrigerant leakage. Inspect accessible hoses, lines, clamps, wiring routes, connectors, grounds, and areas where vibration or rubbing can create a repeat fault.
A checklist should distinguish “inspected and acceptable” from “not accessible” and “requires follow-up.” A blank field is ambiguous. It does not show whether the item was overlooked, unavailable, or found to be satisfactory.
Power, Starting, and Charging
For engine-driven units, record battery and connection condition, starting behavior, and charging evidence under operation. For electric or hybrid platforms, use the checks applicable to the installed system and its documented service procedures. The purpose is to capture measured or observed condition, not to label every low-voltage symptom as a battery failure.
Include protection devices, visible cable condition, grounding, and controller-power concerns where they are accessible within the PM scope. If a no-start, intermittent shutdown, or charging problem appears, open a diagnostic item rather than treating the PM checklist as proof of the failed component.
Engine, Fuel, and Drive Items Where Applicable
Applicable checks may include fluid condition and level, filter status, fuel-system evidence, belts, pulleys, tension, hoses, mounts, and signs of abnormal heat, noise, or vibration. The exact list varies by platform and service level. A universal checklist must therefore point to the model-specific procedure instead of inventing one interval or one parts set for every unit.
Record what was replaced and why. “Serviced” is too broad for fleet history. A later technician should be able to tell which filters, fluids, belts, or other routine items were handled and which observations led to additional work.
Heat Exchangers, Airflow, and Defrost Condition
Cooling performance depends on more than refrigerant. Inspect accessible condenser and evaporator surfaces, airflow restrictions, fan condition, guards, drainage, frost or ice patterns, and visible contamination. Note trailer-side conditions that can affect circulation or return air when they are observable, while keeping trailer-body repair outside the reefer service scope.
Defrost-related observations should include the complaint, frost pattern, available alarm history, and behavior during the applicable operating sequence. A single clear cycle does not necessarily close a complaint that appears only after longer runtime. If the condition cannot be reproduced during PM, record the limitation and define the follow-up trigger.
Controls, Sensors, and Alarm History
Capture active and recent alarms before clearing them. Record controller state, setpoint, mode, displayed temperatures, and any inconsistent sensor or operating evidence. Alarm codes guide the diagnostic direction but do not by themselves prove which part has failed.
Where the service scope allows, compare the controller information with direct observations and measurements. If the history shows a recurring pattern, link the PM record to the earlier repair or diagnostic record so the fleet can see whether the same condition is returning.
Operating Check and Release Evidence
The final operating check should match the work performed and the original concern. Record whether the unit starts, runs, changes mode, and maintains stable control through the available verification period. If pull-down or temperature recovery is evaluated, note the starting condition, duration, ambient and box context, and the limitation of an unloaded or short test.
Do not turn a brief yard run into a broad performance guarantee. A release record states what was checked and observed. It also lists open findings, deferred repairs, monitoring instructions, or the need for shop diagnostics when the available test cannot reproduce the route complaint.
Corrective Priorities and the Next Due Point
Classify findings by operational consequence and required timing. A condition that affects safe operation or temperature control needs immediate disposition. A developing issue may be scheduled before the next demanding route. A monitor item needs a clear trigger, such as recurrence of a named alarm or a measurable change in performance.
Finish the checklist with the next maintenance due point based on the applicable interval and current evidence. Any earlier follow-up should be recorded separately with its reason. That makes the checklist useful to dispatch, maintenance, and the next technician instead of ending as an isolated service receipt.
